Policies & Expectations
  • Acceptance and Scheduling
Submission of an abstract does not guarantee acceptance. Accepted presentations are scheduled based on reviewer ratings, program needs, topic balance, and available meeting space. AWWA reserves the right to determine the final presentation format, session assignment, and schedule placement of accepted content
  • Presenter Communications
AWWA communicates directly with the submitter/primary author using the email address provided during the submission process. Submitter/primary authors are responsible for maintaining accurate contact information and monitoring communications from AWWA.
  • Presenter Changes
The submitter/primary author is expected to present accepted content at the conference. Any requests to change presenters after acceptance must be submitted to AWWA in writing for review and approval.
AWWA Roles in the Submission Process
  • Submitter/Primary Author (Required)
The Primary Author is the main contact for the submission. This individual is responsible for completing and submitting the abstract, receiving all communications from AWWA, and coordinating with any co-authors. By submitting an abstract, the submitter/primary author confirms they have the right to present the content. If the abstract is accepted, the submitter/primary author is expected to present at the conference.
  • Co-Author (Optional)
Co-authors are individuals who contributed to the work, research, or development of the abstract and should be credited for their contributions. Co-authors do not receive direct communications from AWWA. Submitters/primary authors do NOT need to duplicate their contact information into co-author fields.
  • Moderator
Moderators support conference sessions, introduce presenters, and facilitate audience discussion. Special Topic Session and Workshop submissions should identify a moderator as part of the submission process; this may be the submitter/primary author. For standard sessions, moderators are assigned by AWWA.
  • Co-Presenters
Co-Presenters share responsibility for delivering a presentation and may receive direct presenter communications from AWWA. When submitting an abstract, co-presenters should be included as co-authors; roles will need to be adjusted after acceptance.
AWWA Educational Session Structure
  • Standard Session
A standard podium session consists of three presentations on a common topic, each approximately 20-25 minutes long, followed by moderated discussion and audience Q&A. Individual abstracts are grouped with similar submissions to form these 90-minute sessions. The submitter/primary author is responsible for coordinating communication and participation with any listed co-authors.
Portions of your submission will be used in the printed and/or online program. Ensure information is complete and accurately portrays the session.
  • Special Topic Session
A Special Topic Session (STS) is a one- to three-hour session focused on a single topic. These sessions are often discussion-based, panel-style, or audience-driven and may include multiple presenters. STS submissions require a moderator; this may be the submitter/primary author. The submitter/primary author is responsible for ensuring all listed presenters are aware of and agree to participate before the session is submitted. Accepted sessions require additional coordination with AWWA Presenter Services regarding agenda and participant details.
Portions of your submission will be used in the printed and/or online program. Ensure information is complete and accurately portrays the session.
  • Preconference Workshop
A Preconference Workshop (PCW) is an in-depth educational program held before the official start of the conference. Workshops are often interactive, hands-on, and focused on practical learning. PCW submissions require a moderator; this may be the submitter/primary author. The submitter/primary author is responsible for ensuring all listed presenters are aware of and agree to participate before the workshop is submitted. Accepted workshops require additional coordination with AWWA Presenter Services regarding agenda and participant details.
Portions of your submission will be used in the printed and/or online program. Ensure information is complete and accurately portrays the session.
  • Poster Sessions
Poster sessions provide an opportunity to share research, case studies, and practical experiences in a visual format. Accepted presenters create and display a poster summarizing their work and discuss their findings with attendees during a scheduled 90-minute poster session. The submitter/primary author is responsible for coordinating communication and participation with any listed co-authors.
Portions of your submission will be used in the printed and/or online program. Ensure information is complete and accurately portrays your research.
